Receptionist

Job Description:
We are seeking a highly professional and organized Receptionist to join our dynamic team. The ideal candidate will be the first point of contact for many of our clients, offering administrative support across the organization, and ensuring a welcoming and efficient office environment. This role requires excellent communication skills, a compassionate approach to client interactions, and an ability to handle sensitive information with discretion.

Key Responsibilities:
Front Desk Management: Greet and welcome clients and visitors in a warm and professional manner, ensuring a positive first impression of the immigration law office.

Communication Handling: Manage incoming calls, emails, and mail; direct inquiries to the appropriate staff members; take messages and schedule appointments.

Client Assistance: Provide clients with basic information regarding the immigration process, directing them to the appropriate resources or personnel within the office for further assistance.

Document Management: Assist in preparing, managing, and filing documents and correspondence, ensuring accuracy and confidentiality in handling client’s personal information.

Scheduling and Coordination: Manage the office calendar, including scheduling appointments, consultations, and meetings for attorneys and staff.

Office Supplies and Maintenance: Monitor and maintain office supplies; ensure the office environment is clean, organized, and well-maintained.

Support Legal Staff: Provide administrative support to attorneys and legal assistants as needed, which may include data entry, photocopying, and organizing case files.

Requirements:
Education and Experience: High school diploma required; associate’s degree or higher in business administration, communication, or related field is a plus. Previous experience as a receptionist or in customer service, preferably in a legal or immigration services setting, is highly desirable.

Skills: Excellent verbal and written communication skills, proficiency in Microsoft Office Suite, attention to detail, and strong organizational abilities.

Personal Attributes: Professional demeanor, empathetic understanding of client needs, ability to work under pressure, and maintain confidentiality.

Language Skills: Fluency in Spanish is required
